An Administrative Assistant (AA) requires a variety of skills to successfully carry out their duties. A company’s AA is very often tasked with culture-related responsibilities such as planning off-site functions, overseeing perks like workplace snacks, and generally keeping the office vibe upbeat. While these functions are still essential to the position, these days, AAs are tasked with a lot more. The majority of AAs are obligated to handle administrative and clerical duties such as organizing files, scheduling appointments, helping other staff members, and drafting letters or messages. Hence, they are among any businesses’ most important employees, ensuring everything runs smoothly behind the scenes.

Additionally, this can be the ideal position for someone who enjoys working in an office but doesn’t want to be the center of attention having to present or lead teams and would rather stay in the background. Being an AA can provide you the training ground you need to continue developing your important management skills which will eventually lead you to reach your goals, that is, if you hope to manage an office someday or whatever your career goal may be.

Here are some of the duties and skills that an employer may want in an administrative assistant aside from the core 25 listed on the Homepage of this section.

  1. Analytical skills – Administrative assistants should be able to gather data, analyze it, and present it in an understandable manner.
  1. Marketing skills – Administrative assistants might conduct data analysis to support marketing initiatives and assess their effectiveness. Marketing skills is one of the attributes that employers look for, especially in advertising, social media, and e-commerce companies. Examples of this include:

Search Engine Optimization (SEO) – As an administrative assistant, you could occasionally be requested to discover a strategy to promote the company’s brand, and if you know how to do SEO, you could easily start off from there.

Email Marketing and Automation – Being an administrative assistant is often hectic, and there may be many tasks you need to complete. Simply understanding how email platforms operate can considerably improve your workflow efficiently.

  1. Presentation skills – Administrative assistants should be able to give a good presentation. Employers will want an assistant who possesses the skills required to conduct research, analyze, and create a presentation that can be delivered clearly and concisely so that the audience can comprehend.
  1. Knowing how to coordinate an office – Administrative assistants are frequently office managers as well. When in charge of coordinating a full workplace, you must be able to multitask, anticipate, interact with suppliers, handle office equipment, and be the link between the office and the outside world. Administrative assistants will be responsible for responsibilities such as stock level monitoring, ordering supplies, planning meetings and events, organizing catering, and booking travel. When it comes to workplace coordination, organization, and problem-solving skills are essential.
  1. Foresight and anticipation – What separates a decent assistant from a great assistant is their ability to anticipate needs and carry out important tasks without being asked. An outstanding assistant will take the initiative to support the business rather than waiting for permission or instruction. If you think the company contact list is out of date, update it. This shows that you can manage your tasks without constant supervision. The best AAs don’t need to be told what to do as they are expected to know their responsibilities well.
  1. Friendly and welcoming – Being the company’s first point of contact with the customer/client, you should look the part. An AA with a pleasing personality leaves a positive, long-lasting impression on your customer/client, which extends to their impression towards the company. Most often, customers/clients don’t want to be associated with your company if the second they arrive, they will be welcomed by a scowling staff.

AAs are team leaders, and therefore must lead by example. All eyes are on you for guidance as to conduct, work ethic, professionalism, and the overall culture of the office. Always project a positive attitude and lead your team with dignity and respect.
